Golf club management as a discipline and as an outcome has reached new levels of complexity. Member expectations are growing at faster speeds than ever but annual budgets are more restrictive than ever, so club managers are facing tough investment decisions around agronomy, clubhouse, F&B, golf, technology and more.

It’s vitally important that the golf industry provides club managers with support to aid their decision-making processes and limit risk wherever possible. Without it, clubs can often feel that they are walking in the dark.

That’s why Golf Genius, in collaboration with Players 1st, the GCMA, CMAE Scotland, CMAI, UK Golf Federation, and Golf Club Secretary, have launched the Golf Club Software Technology Framework — a first-of-its-kind, step-by-step guide designed to help golf clubs confidently assess, select, and implement the right technology solutions.

The framework gives decision makers the structure and insight they need to plan technology change responsibly and effectively.

Why the Framework Matters

The 2025 Golf Club Software Technology Report revealed that:

•    66% of golf clubs are considering changing software providers.
•    Over 50% are seeking external guidance to make informed decisions.

In response, Golf Genius and Players 1st created a practical roadmap that brings clarity to the process — helping clubs evaluate their current systems, understand their total cost of ownership, and choose technology that supports both their staff and members.

“The more knowledge we can provide to clubs, the better equipped they are to select technology that fits their unique needs,” said Jakob Buksted, Director of Research at Players 1st. “This project gives decision makers the structure and insight they need to plan change responsibly and effectively.”

Inside the Golf Club Software Technology Framework

The downloadable guide outlines a 4-step process:

1.    Investigation – Assess your current software and identify opportunities for improvement.
2.    Tender – Evaluate supplier options using structured templates and scoring tools.
3.    Decision – Objectively compare value and alignment with club goals.
4.    Implementation – Plan rollout and ensure staff adoption.

The framework is supported by free, ready-to-use tools, including:

•    A 45-minute Software Audit Tool with personalized recommendations
•    A Total Cost of Ownership (TCO) Calculator
•    A Request for Proposal (RFP) Template
•    A Supplier Evaluation Matrix

Together, these resources provide clubs with a repeatable, evidence-based approach to managing software change.
